About this role

Seeking a highly organized and proactive individual to join our team in a Financial Advisor Support role. This position is crucial in providing comprehensive administrative assistance to our financial advisors, ensuring smooth operations and exceptional client service.

Our advisors are looking for someone who is adaptable and can handle changing priorities, comfortable using a variety of technology platforms, enjoys client service, and is highly organized.

Key responsibilities include assisting the advisor with administrative support, scheduling, completion of applications, and collaboration with internal departments.

Requirements

Responsibilities:

  • Client Relationship Management: Serve as a primary point of contact for clients, managing inquiries and scheduling appointments. Act as a direct liaison between the Financial Advisor and clients

  • Administrative Support: Assist financial advisors in preparing client presentations, reports, and correspondence. Handle incoming calls in a friendly and professional manner

  • Calendar Management: Coordinate and manage complex calendars, scheduling meetings and appointments efficiently.

  • Document Management: Organize and maintain client files on internal platforms and systems, ensuring accuracy and confidentiality. Provide ad hoc support on assigned projects and escalations with flexibility and prioritization.

  • Research and Analysis: Research financial products, market trends, and investment opportunities as directed.

  • Compliance: Ensure all client communications and documentation comply with regulatory standards and internal policies.

  • Operational Support: Handle administrative tasks such as expense reporting, invoice processing, and office supply management.

  • Client Onboarding: Facilitate the onboarding process for new clients, gathering necessary documentation and information. Accurately complete, submit, and follow up on the status of all new business applications


Qualifications:

  • Bachelor’s degree in Finance, Business Administration, or a related field preferred.

  • Proven experience (2 years) in a similar administrative support role within the financial services industry.

  • Solid understanding of financial assets and terminology.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.

  • Experience in Salesforce is a plus.

  • Exceptional organizational and multitasking abilities with a keen eye for detail.

  • Excellent written and verbal communication skills.

  • Exceptionally professional with the ability to maintain a client-first disposition.

  • Comfortable in a fast-paced environment.

  • Ability to handle sensitive information with discretion and confidentiality.

  • Team player with a proactive and positive approach to work.

  • Life, Accident, and Health License and/or Finra Registrations are a plus.
